WhatsApp Bots for Real Estate Offices: What They Do and What to Watch
Most real estate enquiries in Saudi Arabia arrive on WhatsApp, and many come in the evening or at the weekend. The customer wants a quick answer: do you have a villa for sale in this district within my budget? If nobody replies fast, they message another office.
What a WhatsApp bot does for a real estate office
1. Shows available properties
It asks for the property type, sale or rent, district and budget, then shows matching listings from your own list. Three listings per message works best, and the customer types "more" to see the rest.
2. Books viewings
The customer picks a property and an available time slot, and gets an instant confirmation.
3. Hands off to a person immediately
When the customer asks for a person, or asks about a discount or contract term, the bot passes the conversation to your staff with a summary of what the customer is looking for.
4. Replies outside office hours
A customer who messages at midnight can see available properties and book a viewing instead of waiting until morning.
What we learned building and testing a real estate bot
We built a WhatsApp bot for a real estate office in Dammam and tested it on real conversations. The main lessons:
- Prices come only from your list. The bot never guesses a price or a term. If it cannot find the answer, it says it will check with the office and hands off.
- It does not ask for a phone number. WhatsApp already shows it, and asking again annoys customers.
- No promises it cannot keep. It does not say "we will send you a reminder" unless reminders actually exist.
- Past slots are never offered. Testing found an expired slot available for booking, and we fixed it before any customer saw it.
- Short messages. Ten listings in one message is far too long on a phone.
- Handoff without questions. A customer who asks for a person is handed off immediately.
Rule-based bot or AI agent?
A rule-based bot works with menus and fixed phrases. It is accurate and cheap to run, and prices are never wrong because they come straight from the database. But it handles free text and voice notes poorly.
An AI agent understands dialect, free text and voice, and sounds more human. But it costs money per message and, if not set up carefully, can answer confidently about things it does not know.
The best option is often a hybrid: AI understands what the customer wants, while prices and availability come only from your list.
Technical requirements
- The bot runs on the official WhatsApp Business Platform through an approved provider, not on the regular WhatsApp app.
- Messages the office starts more than 24 hours after the customer's last message, such as reminders, need templates approved by WhatsApp in advance.
- Your property list must stay up to date, because the bot shows exactly what is in it.
